Terms of service
Updated 31 October 2026
The parties
These terms apply to the AulaVahti phone receptionist service (Aino), provided to businesses by AulaVahti, Jimi Jokinen (business ID 3666917-9, jimi@aulavahti.fi). The agreement is made when the client accepts the order confirmation or pays the first month.
The service
AulaVahti builds the client their own Aino phone receptionist from the information the client provides, and maintains it. Aino answers the calls the client forwards to her, around the clock, in Finnish, Swedish and English.
Aino tells callers about services, prices, opening hours and other information the client has provided. She takes booking, change and cancellation requests and messages, and passes them to the client straight away by text message and email. Every call gets a summary, and at the start of each month the client gets a report on the previous month.
Aino doesn't confirm, move or cancel bookings herself, and doesn't transfer calls to a person, unless this has been agreed separately. If Aino doesn't know an answer, she takes a message instead of guessing.
The client's responsibilities
The client gives Aino correct information and tells AulaVahti about changes, confirms bookings with their own customers, and turns on call forwarding to Aino. The client makes sure their customers are told that calls are recorded, for example in the client's own privacy policy. The client's operator may charge for forwarded calls under its own price list.
Price and payment
The monthly price is the one agreed in the order confirmation. The founding-client price is 149 € + VAT a month with no setup fee, locked for 12 months. All calls and minutes are included. The first month is paid when the order is confirmed, before Aino is built. After that, payment is taken monthly in advance on the same date.
Guarantee
If Aino doesn't pass at least 2 booking requests to the client in the first 30 days, AulaVahti refunds the first month's payment in full. The 30 days start when calls start going to Aino. Requests are counted from Aino's call summaries, which the client receives too. New booking requests count; change and cancellation requests don't. The refund is paid within 14 days of the end of the 30 days, by the same payment method.
Cancellation
The client can cancel at any time by email (jimi@aulavahti.fi). There is no notice period. Cancellation takes effect at the end of the month already paid for, and a paid month isn't refunded, except under the guarantee. AulaVahti can end the service with at least 30 days' notice, or immediately if a payment is more than 14 days late.
Availability
Aino relies on the services of telephone and speech recognition providers. AulaVahti fixes problems as quickly as possible and tells the client about longer outages, but doesn't guarantee uninterrupted service.
Limitation of liability
AulaVahti isn't liable for indirect losses, such as lost bookings or income. AulaVahti's total liability is limited to the fees the client paid in the last three months. This limit doesn't apply to intentional or grossly negligent conduct.
Personal data (data processing agreement)
The client is the controller of the personal data their customers and other callers give Aino on calls. AulaVahti is the processor and processes the data on the client's behalf under Article 28 of the EU General Data Protection Regulation. This section is the parties' data processing agreement.
The data processed is the caller's phone number, name and anything else said on the call, plus the call's recording, transcript and summary. The purpose is to answer calls and pass messages and requests to the client. Processing lasts as long as the agreement.
AulaVahti processes the data only under these terms and the client's written instructions, and keeps it confidential. It protects the data with appropriate technical and organisational measures, helps the client respond to data subjects' requests, and notifies the client of a personal data breach without undue delay, no later than 48 hours after becoming aware of it. AulaVahti gives the client the information needed to show compliance.
The sub-processors are Retell AI (call processing, United States), Twilio (phone numbers, calls and text messages), Resend (email), Vercel (servers) and Google (email and the optional call log). The client accepts these. AulaVahti gives 30 days' notice of any new sub-processor, and the client can then cancel. Transfers outside the EU are covered by the EU standard contractual clauses, and AulaVahti has signed a data processing agreement with Retell.
When the agreement ends, AulaVahti sends the client the call summaries on request and deletes the recordings, transcripts and other client data within 30 days, unless the law requires keeping them.
Changes to these terms
AulaVahti gives at least 30 days' notice of changes to these terms by email. If the client doesn't accept a change, they can cancel before it takes effect. A locked price isn't changed during the lock.
Governing law
Finnish law applies. The parties first try to settle disputes by negotiation; otherwise they are settled in the district court of AulaVahti's place of business.
